Manage Products

Presto needs a little help in order to understand what products you sell, and importantly how to tell which product is which from the invoice lines imported from Xero. Presto has flexibility to recognise products from invoice lines in two ways:

  • Matching a search on the Item Code field
  • Matching a search on the Description field

If you’ve got a very tidy set of product codes that are associated one-to-one with products, you will have an easy time setting this up in Presto. Even if you use multiple codes for the same product, and perhaps leave the Item Code empty, Presto can still understand this situation, it will just take a little more setup.

Creating a product

From the Stockist Map Dashboard, click “Edit Products”. This will take you to the Product List screen. From here, click the “Add a product” button.

Unique Code

This can be set to whatever you like, most likely your preferred internal product/SKU code for the product. (It is also what would be shown publicly on your map if you don’t set a “Public Display Name” under Stockist Map Options)

Product Matching Options

This part is where you tell Presto how to recognise this product from invoice lines. As mentioned above, you can search either the Item Code or the Description here. We call each search a “matcher”. Note that you can create more than one matcher, useful if you have more than one product code used in Xero for the same product. In the simplest case, you would add one matcher that searches for the one product code used on invoice lines.

The ”swap field” button is used to switch between searching the Item Code and the Description.

caution

If you have two matchers where one of the searches is contained within the other, eg. "ABC01" and "C01", Presto currently cannot ensure that the products are recognised successfully. This is a result of the search behaviour being "Item Code/Description contains your search". In this example, the "C01" search would match the same invoice lines as the "ABC01" search, resulting in indeterminate results.

To resolve this, consider searching for something longer (instead of "C01" in this example0, perhaps in the description rather than the Item Code.

Stockist Map Options

If you want this product to be shown on your map, check the “Show on stockist map” button. Products are not shown on the map by default.

The “Public Display Name” is the name for the product that will be displayed on the map. If you leave this blank, your unique product code will be shown instead.

Product matcher processing

When you change a matcher for any product, Presto needs to re-run the product recognition process. This happens in the background and may take up to 30 mins. See Background Processing for more about operations running in the background.
